How to Scan and Compress Your Signature to 10KB–20KB Using Only Your Phone

Published October 2026 · 6 min read · Guide
Every major Indian recruitment portal — from SSC and IBPS to state PSCs — enforces a razor-thin file size limit of 10KB to 20KB for candidate signatures. If you try compressing a raw phone photo, it usually turns into a muddy, blurry grey rectangle. Here is the exact studio-quality technique using only your smartphone and ToolKB.

Step 1: The Pen and Paper Setup

Do not sign on lined notebook paper or rough diary sheets. The horizontal blue lines confuse JPEG compression algorithms, wasting precious kilobytes on paper lines instead of your signature strokes.

  • Paper: Use clean, unruled pure white printer paper (A4 standard 75/80 GSM).
  • Pen: Use a dark black gel or rollerball pen with a 0.7mm tip. Ballpoint pens can skip and leave faint grey strokes; fountain pens can bleed on cheap paper.
  • Signature style: Sign in your natural, fluid cursive handwriting. Remember: SSC, IBPS, and UPSC summarily reject signatures written in all-capital block letters.

Step 2: Lighting and Smartphone Photography

The single most common mistake candidates make is casting a shadow over the paper with their own body or phone. Camera sensors compensate for shadows by boosting digital gain (ISO), adding noise that balloons the compressed file size.

  1. Place the signed paper on a flat table near an open window during daylight hours.
  2. Hold your smartphone directly parallel (90 degrees top-down) above the paper.
  3. Step back slightly and use 2x optical zoom on your phone camera. This prevents perspective distortion and keeps your body from casting a dark shadow across the ink.
  4. Tap on the signature to lock focus and exposure before pressing the shutter button.

Step 3: Tight Cropping

A raw smartphone photo captures the table surface, shadows, and huge borders. If you compress that entire image to 20KB, 90% of the data will be wasted on the empty margins, making the actual signature pixelated and unreadable.

Open the photo in your gallery or ToolKB's Crop Image tool. Crop tight around the ink strokes, leaving only about 0.5 cm of white margin on all four sides.

INTERACTIVE UTILITY

Compress Signature to Exact 15KB

Use our client-side Signature Compressor with the automated Ink Boost filter to strip shadows and meet 10KB–20KB portal limits instantly.

Step 4: Use “Ink Boost” to Remove Paper Cast

Even in good light, a phone camera records the paper as grey, beige, or pale yellow (RGB 210, 210, 205) instead of pure white (RGB 255, 255, 255). When compressed to 15KB, JPEG tries to preserve the subtle paper texture grain, creating visible compression artifacts around the pen strokes.

ToolKB solves this with our automated Ink Boost algorithm. It samples background luminance, snaps all paper pixels to pure 255 white, and runs an S-curve contrast boost on the ink. The result is crisp, laser-sharp handwriting that compresses to 12KB with zero degradation.

Step 5: Hit the Exact 10KB–20KB Target

Portals like SSC CGL and IBPS reject files under 10KB just as quickly as files over 20KB. If your target is too low (e.g. 8KB), the portal will throw an “Invalid file size” alert.

In ToolKB's compressor, choose the SSC Signature or IBPS Signature preset. The engine automatically aims for a safe 15KB to 18KB — right in the sweet spot of the portal's legal window — and forces standard baseline JPEG without metadata.

Quick Checklist Before Uploading

  • ✔ Signature signed with black ink on plain unlined white paper.
  • ✔ Cropped tight with minimal margins.
  • ✔ File size strictly between 10.0 KB and 20.0 KB.
  • ✔ Format is standard .jpg or .jpeg (not PNG or WebP).
  • ✔ Signature is in running handwriting, not block capitals.
