Why Your Photo Gets Rejected Even After Compression

You compressed your photo to exactly the required KB — and the portal still says “invalid file”. Frustrating, but the fix is usually simple: most rejections after compression have nothing to do with file size.

Cause 1: Wrong pixel dimensions

This is the number one cause. Portals validate dimensions separately from file size. IBPS wants a photo at 200×230 pixels; a signature at 140×60. If your file is 45KB but 1200×1600 pixels, it fails — the KB was never the problem.

Fix: check the notification for a pixel requirement, set exact dimensions first with ToolKB's Resize Image tool, then compress to the KB target. Order matters.

Cause 2: Wrong file format

Most Indian exam and government portals accept JPG/JPEG only. A perfect 30KB WebP or PNG gets rejected on format alone. iPhone photos add another trap: they're HEIC by default, which almost no portal accepts.

Fix: convert first — HEIC to JPG for iPhone photos — then compress. ToolKB's compressor always outputs standard JPEG, so files made with it pass the format check.

Cause 3: You compressed below the minimum

Many forms specify a range, not just a maximum — e.g. SSC's signature must be between 10KB and 20KB. A 7KB file fails just like a 25KB file does.

Fix: target the top of the range. If the range is 10–20KB, make exactly 20KB. If it's 20–50KB, make 50KB.

Cause 4: Background and face visibility

UPSC requires 75% face visibility on a white background; most portals want plain white or off-white with no shadows. Automated checks — and human reviewers — reject busy backgrounds even when the file size is perfect.

Fix: retake the photo against a plain wall in natural light before you compress. No filter, no shadow across the face.

Cause 5: The portal's own glitch

Sometimes the file is genuinely fine. Busy portals (especially on deadline day) throw vague errors under load. Before re-compressing a fifth time: try a different browser, clear cache, or retry after some time. If the preview looks right and the size matches, the file is probably fine.

The reliable order of operations

  1. Take/choose the photo against a plain background.
  2. Crop tight — remove empty space.
  3. Resize to the exact pixel dimensions in the notification.
  4. Compress to the top of the required KB range.
  5. Verify: right-click → Properties (Windows) or Get Info (Mac) to confirm size and format.
